Job Description
I. Logistics Services
1 Company security and safety management, front-desk reception and registration; maintenance of plants and potted flowers; repair of electrical, plumbing, air-conditioning systems, as well as doors and windows; daily attendance recording, including registration of tardiness, early departures, absenteeism, and business outings, along with monthly attendance reports.
2 Handling company visitors, arranging hotel and restaurant reservations, processing checkouts, and booking and reimbursing transportation tickets.
3 Haiyue Technology’s conference services encompass pre‑event planning, exhibition setup, and on‑site protocol and refreshment services for a wide range of meetings, including client visits, regular departmental meetings, monthly key‑staff coordination sessions, shareholders’ meetings, New Year work mobilization conferences, mid‑year work conferences, year‑end summary and recognition ceremonies, as well as other ad hoc gatherings. We also provide maintenance and operation of conference recording and broadcasting systems, along with audio and lighting solutions.
4 • Management of the company’s utility bills, broadband fees, telephone charges, air-conditioning expenses, property management fees, parking‑management fees, as well as the procurement and payment of public‑transportation cards and Didi ride‑hailing services; drafting of lease agreements for office premises and employee dormitories, handling related fee payments, and processing invoices.
5 Maintenance, procurement, inventory management (including receiving and issuing), and distribution of office supplies and office automation equipment.
6 , chauffeur services, vehicle washing and maintenance, and annual vehicle inspections.
II. Administrative Secretarial Work
1、 (Secretary of the Board): Drafting key documents and work reports for the Chairman; recording and compiling the Chairman’s important speeches; arranging the Chairman’s daily travel schedules; and coordinating with the Mingcheng Real Estate Development Project in Hengdian.
2、 (Office Secretary): Drafting and disseminating the Group headquarters’ and all branch offices’ rules, regulations, documents, and notices; preparing minutes, drafting, printing, distributing, and communicating materials for weekly routine meetings, monthly key‑staff coordination meetings, shareholders’ meetings, the annual kickoff conference, mid‑year work conferences, year‑end summary and awards ceremonies, as well as other ad hoc meetings; and printing reports, documents, or materials as required by management on an ad hoc or as‑needed basis.
III. Administrative Management
1 Archival Management: Establishment and maintenance of personnel records and project files—including contract documents and employment contracts for project managers—in both paper and digital formats across various departments, such as the Group Headquarters, production bases, construction, and real estate development divisions; as well as recording all requests for file borrowing.
2 Seal Management: Daily administration of the use and borrowing of seals across all subsidiaries and departments; collection and reporting of improperly used seals; application, filing, and engraving of newly established seals.
3 , License and Permit Management: 17 Business services including annual business license inspections, address relocation, shareholder changes, equity transfers, and qualification upgrades.
4 Employee social insurance: primarily provided by Haiyue Technology, Jinsha Guangjin, Zhejiang Shang Real Estate, Haizhichuan, and Xinmin Labor Services. 5 Social security enrollment and modification for the company, as well as the verification and processing of employee accident insurance.
5 Project Application: Responsible for preparing and submitting documentation for national support programs, such as those for high-tech enterprises and big data; also responsible for the design, filing, and protection of the Group’s relevant trademarks.
6 Management and Coordination: Oversight of departmental discipline, coordination of work, temporary reassignment of personnel to specific roles, and handling of important tasks assigned on short notice by management.
IV. Human Resources
1 • Establishment and archiving of personnel files for all employees of the Group;
2 , new human resources plans, as well as development and training programs;
3 • Establishment and implementation of the employee compensation system, employee performance appraisal, and the formulation and execution of the reward and punishment system;
4 , corporate culture training, employee ideological education, as well as other comprehensive quality development programs and technical training.
